What is Teamtailor and who is it for?
Teamtailor is not a job board. It is the workspace behind the application process. Recruiters publish jobs, move applicants through defined stages, coordinate interviewers and keep messages, notes, evaluations and documents on a candidate card. Its central proposition is that a careers site is not merely a place to display vacancies: people can connect with the company, remain in a talent pool and be contacted again when a relevant role opens.
The product therefore combines two jobs that are often handled separately. Its ATS manages the active requisition and application process. Its recruitment-marketing and CRM side builds a reusable candidate pool, supports multilingual career sites, lead pages and nurture email campaigns. For organisations with recurring hiring needs, that can reduce the need to begin every search from scratch with past applicants and interested passive candidates.
Teamtailor describes the service as suitable for companies of all sizes and lists unlimited users and unlimited job postings on its public pricing page. In practice, that can be useful when many hiring managers participate or the number of simultaneous vacancies changes. How does it work in day-to-day recruiting?
A team can create a role from a template and set its own process. Applications move through configurable stages. Scorecards and interview kits help put feedback on the candidate profile instead of leaving it scattered across individual email threads. Hiring teams can use comments, tasks and reminders, while Smart Schedule is intended to suggest workable interview times.
Triggers are the practical centre of automation. At a particular stage they can create internal tasks, send an applicant a message, request a reference, launch a survey or pass data to an activated integration. They do not replace process design. The team still has to decide which stages, questions, owners and exceptions are appropriate. For complex approvals, that design should be agreed before it is configured in software.
For relationships outside an active vacancy, Teamtailor provides Connect and Nurture. Interested people can register, be organised into groups and receive relevant future roles. That is the material difference from a basic application inbox: the career site, messages and pool sit in one application. Whether it improves hiring results still depends on consent, sensible segmentation and editorial discipline rather than sending every role to every contact.
Candidate Experience at Teamtailor
Teamtailor’s candidate-experience proposition is built around a configurable journey rather than a fixed recruiting script. Its tools can make discovery, application and follow-up feel coherent and branded, but the quality of that journey still depends on the employer’s form design, content choices and the team’s speed of response.
Applying with low friction: Teamtailor states that applicants should be able to apply without creating an account or logging in. For each job, the employer decides which data to request: name and email are available, while phone number, address, CV, supporting files and cover letter can be disabled, optional or mandatory. Application questions can also be required or optional, and conditional logic can keep irrelevant questions hidden. A career site that the recruiting team can run: The standard editor covers branding elements such as logo, colours and typography, plus navigation, pages and reusable content blocks. Communication, tracking and rejection: A confirmation message can be sent automatically when an application is submitted. Stage-based triggers can send further messages, including with a delay. With the optional Transparent recruitment feature, connected candidates can view a high-level application status: unread, inbox, in progress, hired or rejected; they do not see the precise internal stage. Limits, cost and DACH compliance: The no-code editor reduces technical dependency; it does not remove the operational work of maintaining credible content, translations, form rules and timely human replies. Teamtailor documents multiple languages, triggers and transparent recruitment as add-on features. How much does Teamtailor cost?
The official answer is quote-based pricing. Teamtailor does not show monthly, annual, per-user or per-employee amounts on its public pricing page. It says the service includes unlimited job postings and users, support for all users, more than 250 features and integration with an existing HR technology stack. None of that produces a reliable starting price or total cost of ownership.
This matters in comparison. A sales quote may take account of employee count, countries, brands, required modules, contract term, implementation services or support level. Teamtailor does not publicly disclose those factors as a price formula. Third-party estimates may be useful to prepare a commercial conversation, but they are not a Teamtailor price and are intentionally not presented here as one.
Feature terminology also needs care. The Support Center calls Co-pilot, Triggers, References and Recordable video meetings add-on features that a Company Admin can activate; its documented examples state no additional activation cost. That does not automatically establish the commercial terms of every contract. The four enterprise functions labelled Extra add-ons also have no public surcharge on the pricing page.

Which limitations should be tested before purchase?
The first limitation is price transparency. A buyer who needs an approved budget range before a demo cannot obtain one from a public Teamtailor price list. A useful request should ask for more than a total: contract term, included modules, implementation, data migration, renewal, region, support and every usage-based component should be explicit.
The second limitation concerns analytics. Teamtailor offers custom reports and many data points. Its own support documentation says different report types, such as a snapshot job report and a snapshot job applications report, cannot currently be combined inside the system. Teams needing one model across recruiting, finance and HR should test exports, the API or the separately listed BI Connector in a proof of concept.
Third, Teamtailor is not presented as a complete HR core system. It can support onboarding tasks and the handoff after a hire, but payroll, time management and the system of record for employment data may remain in an existing HRIS. That is not a disadvantage for teams with an established stack. It is an architectural constraint for a business seeking one platform for the full employee lifecycle.
For DACH deployments, assess the data region specifically rather than making a blanket assumption. Teamtailor offers an EU region and publishes subprocessors and data-centre locations, including storage and cloud computing in Ireland and infrastructure in Germany and Finland. The list also says recognised transfer mechanisms are used where a subprocessor transfer outside the EEA is necessary. Data processing terms, retention, roles, consent and each activated marketplace partner still need internal legal and privacy review.
A practical economic rule for a quote-based model
Since Teamtailor has no public list price, calling it inexpensive or expensive is not supportable. Use the same calculation for every vendor quote instead: first-year cost per hire equals annual licence plus one-time switching cost, divided by expected hires. In later years the switching cost disappears. This makes the effect of hiring volume visible instead of hiding it behind one annual subscription number.

This is not a Teamtailor business case. Replace Q with the proposed subscription, M with estimated internal and external work, and H with realistic hires. Do not count benefits twice: saved recruiter time is only a financial benefit when it is genuinely redeployed or when external recruitment spending demonstrably falls.

The better alternative depends less on a long feature list than on the starting point. A team with an existing HRIS has different priorities from one that first needs an attractive careers site and a reliable application process. Teamtailor is the stronger choice when the careers site and candidate pool should be central rather than accessories to the ATS. Personio is a natural option when core HR is intended to be the system of record. Recruitee is a close ATS alternative with clearer functional stages. Workable is useful when a published entry price matters. Greenhouse and Ashby become more relevant when structured interviewing, governance, reporting or complex organisational needs drive the decision.
Do not choose any of these products from a scripted demo alone. Build the same process for two real roles: stages, questions, approvals, interviewers, privacy rules and reports. Then measure the manual work left for a rejection, a reschedule, a hire, a consent deletion and later candidate re-engagement. That test reveals operational fit much more reliably than a feature count.
