More about WhatsApp recruiting tools

WhatsApp recruiting means contacting, pre-screening and keeping in touch with applicants through WhatsApp instead of forms and email. Of the eight providers compared here, Sprad is the only one that combines the job ads that bring people in, an AI talent agent that pre-qualifies every applicant via WhatsApp, phone or web, and a talent pool that belongs to you; the others cover the chat, the ATS or the agency service. Prices are as of October 2026 and come from the providers or from OMR Reviews unless marked otherwise.

What is WhatsApp recruiting?

business.whatsapp.com
WhatsApp Business Platform product page
Screenshot of business.whatsapp.com, retrieved 3 October 2026.

WhatsApp recruiting uses the messenger as the channel between employer and candidate. A candidate answers a few questions in a chat, sends a photo of a certificate or a short voice note, books an interview slot and gets status updates, all in an app they already open every day. For frontline and shift roles such as nursing, trades, logistics and hospitality this removes the hardest step: a long online form on a phone.

The tools fall into four groups, and mixing them up is the most common mistake in a purchase. Chat agents run the conversation and pre-screen. ATS with WhatsApp add the channel to a full applicant system. Messaging platforms give your team a shared WhatsApp inbox but know nothing about hiring. Agencies and social recruiting platforms bring the applicants in with ads and often use WhatsApp to qualify them. Which group you need depends on whether your problem is too few applicants, too many unqualified ones or too slow replies.

Everything runs on the official WhatsApp Business Platform (the API) in a professional setup. The free Business app is built for small shops, not for processing applications in a team.

How we selected the providers

We only used what is publicly verifiable: provider websites, OMR Reviews and press reports. Where a provider publishes no price, we say so instead of guessing.

  • WhatsApp depth: a real conversation with pre-screening, or only a button that opens a chat?
  • Pre-qualification: who decides whether an applicant fits, and by which criteria?
  • Applicant source: does the tool bring applicants in (ads) or only handle those who already arrived?
  • Ownership of applicant data: do applicants end up in your ATS or pool, or on the provider's platform?
  • Integrations: handover to the ATS you already use.
  • Price transparency: list price, plans, set-up fees.
  • GDPR: data processing agreement, hosting, certifications.
  • Independent reviews: OMR, G2, with count and date.

1. Sprad Social Recruiting: ads, WhatsApp pre-qualification and your own pool

sprad.io
Sprad Social Recruiting product page
Screenshot of sprad.io, retrieved 3 October 2026.
Sprad Social Recruiting
Instagram and Facebook job ads with an AI talent agent on WhatsApp, phone and web
Price
Ad budget plus 10 %, from a €1,000 budget that can be split across roles (as of October 2026)
Best for
Frontline and skilled roles where you need applicants and a WhatsApp pre-screening in one setup, and want to keep every contact.
Limits
Instagram and Facebook today, Google and TikTok follow. It is not a general WhatsApp inbox for customer service. No guarantee of applicant numbers.

Sprad places your job ads on Instagram and Facebook, where nurses, tradespeople and drivers spend time every day. An AI talent agent then pre-screens every applicant via WhatsApp, phone or web, around the clock, and every applicant lands in your own talent pool. Qualified candidates can be passed on to your ATS.

Why first place: most WhatsApp tools wait for applicants to arrive. Sprad brings them in and screens them in the same system. You see the fee before you start (ad budget plus 10 %), and the relationships stay with you instead of with a platform. For more on the channel itself, read why frontline recruiting works by phone and WhatsApp, not email and the Social Recruiting page.

2. talentsconnect ChatAgent: the established WhatsApp specialist

talentsconnect.com

talentsconnect ChatAgent
Cologne-based HR tech with WhatsApp and web chat pre-qualification
Price
No price published; individual offer after consultation (as of October 2026)
Best for
Mid-sized and large employers with many applications who want an AI chat on the career site and in WhatsApp.
Limits
No ads included, so applicants must come from elsewhere; no public price; best suited to teams with an implementation project.
Rating
OMR 4.5/5 (34 reviews) for ChatAgent; 4.6/5 (106 reviews) across the company

The ChatAgent (formerly PitchYou) runs applications and pre-qualification through WhatsApp and web chat and matches candidates to jobs with AI. OMR lists talentsconnect as a leader in the WhatsApp recruiting category. Reviewers praise the modern candidate journey and quick support, and criticise limited self-editing of content and early teething problems in training the AI. It is a building block, not an ad service: combine it with a channel partner for reach.

3. PastaHR: WhatsApp applications that plug into your ATS

pastahr.com
PastaHR website

PastaHR
AI screening with WhatsApp, form and Instagram applications
Price
Price on request (as of October 2026)
Best for
Teams with an existing ATS who want to lower the application barrier for mobile-first and lower-skilled roles.
Limits
Needs an existing applicant system; reviewers mention duplicate work when several recruiting tools are connected.
Rating
OMR 4.9/5 (19 reviews)

PastaHR collects applications through WhatsApp, mobile forms and Instagram, pre-qualifies and screens them, and books interviews automatically. According to its website it is ISO 27001 certified and prepared for the EU AI Act, and it integrates with several common applicant systems. With 19 OMR reviews the rating is high but based on a small sample.

4. BITE: an ATS with WhatsApp applications built in

BITE
German applicant tracking system with WhatsApp and chatbot
Price
Custom quote, no list price (as of October 2026)
Best for
Public institutions, healthcare and research organisations that want one system for the whole process.
Limits
A full ATS is more than a WhatsApp tool; reviewers mention a steep learning curve and limited reporting.
Rating
OMR 4.7/5 (57 reviews)

BITE combines applicant management with WhatsApp applications, recruiting chatbots, AI-generated interview guides and multiposting to more than 1,000 job boards. Reviewers value the clear interface and fast support; the provider names ISO 27001 and ISO 9001 certification. If you do not yet have an ATS, this route replaces two tools with one.

5. Superchat: a shared WhatsApp inbox with a free start

Superchat
Berlin-based messaging platform for WhatsApp, Instagram, email and more
Price
Free (1 WhatsApp number, 30 contacts); Basic €79, Professional €129, Advanced €249 per month; Enterprise on request (OMR, as of October 2026)
Best for
Small teams that want one shared inbox for candidate and customer messages and an easy start.
Limits
Not a recruiting tool: no applicant pipeline, no pre-qualification logic out of the box; WhatsApp's 24-hour message window applies.
Rating
OMR 4.7/5 (343 reviews)

Superchat bundles WhatsApp, Instagram, Telegram, email and SMS into one inbox with chatbot builder and automations. It appears in the WhatsApp recruiting category because many teams use it for candidate communication, but the recruiting logic you have to build yourself. A good fit for a small team or a first test.

6. softgarden: an ATS for larger application volumes

softgarden
German applicant management software with multiposting
Price
From €199 per month according to OMR (as of October 2026)
Best for
Mid-sized and large employers that need a full applicant management system and add messaging channels to it.
Limits
WhatsApp is one feature of a much larger system; check the exact scope and any extra costs in the offer.
Rating
OMR 4.4/5 (214 reviews)

softgarden is among the best-known German applicant systems and is listed by OMR in the WhatsApp recruiting overview. More than 2,000 companies use it according to the provider's website, and it holds ISO 9001 and ISO 27001 certification. It makes sense when the main task is process and compliance across many roles; for pure WhatsApp pre-screening it is more than you need.

7. jobtastic: agency with WhatsApp application

jobtastic
Social media recruiting agency from Coesfeld
Price
No price published; free demo and individual offer (as of October 2026)
Best for
Small and mid-sized trades, care and logistics businesses that want to hand over campaigns completely.
Limits
Agency service, so ads, budget and data stay with the agency's setup; all figures are provider claims.

jobtastic runs Instagram, Facebook and LinkedIn ads and puts WhatsApp at the centre of the application. According to its website the agency has worked with more than 1,000 companies since 2018, reports a WhatsApp response rate above 90 % and won the DRX Award 2024. None of these numbers is independently verified, and the response rate says nothing about hires.

8. Paradox (Olivia): conversational hiring for large US employers

Paradox
AI hiring assistant Olivia, owned by Workday since October 2025
Price
No price published; third-party reports mention from about $1,000 per month and $30,000 to $80,000 per year for mid-sized contracts (estimates, not provider figures)
Best for
Large employers with very high volumes of hourly and shift roles, mainly in the US.
Limits
Oversized for small teams; US focus, so check languages and data hosting for the EU.
German
–

Olivia handles screening, scheduling and onboarding questions by chat and text message; according to press reports the channels include SMS, WhatsApp and web chat. Customers named by the provider include retailers and restaurant chains. In 2025 a security flaw at a customer's recruiting site, built on Olivia, made headlines; the provider said the account concerned had been inactive and closed it within hours. Ask any vendor for its security evidence.

What to check in the DACH and EU market

  • Legal basis: applicant data may be processed for the decision on an employment relationship (Art. 88 GDPR with section 26 BDSG). After the CJEU ruling in case C-34/21 (December 2023), many data protection lawyers recommend also relying on Art. 6(1)(b) GDPR, processing at the applicant's request. Ask your data protection officer.
  • WhatsApp Business Platform instead of the Business app: professional providers use the API through an EU-based solution provider, which allows consent management and a data processing agreement. Several law firms warn against uploading phone address books through the free app.
  • Data processing agreement (DPA): required with every provider that sees applicant data. Ask where data is hosted and who the sub-processors are.
  • Consent and opt-in: contact applicants on WhatsApp only after they have started the conversation or agreed. Outside the 24-hour window only approved templates are allowed.
  • Meta special ad category "Employment": for providers that also buy ads, check which targeting limits apply in your market.
  • EU AI Act: automated pre-screening of applicants counts as a high-risk use. Humans must make the final decision; ask how the provider documents this.
  • Retention and deletion: what happens to chat histories and files after a rejection?

This is orientation, not legal advice.

Checklist before you sign

  1. Does the tool use the official WhatsApp Business Platform, and through which partner?
  2. Who decides whether an applicant fits, and can you see the criteria?
  3. Do applicants end up in your ATS or pool, and can you export them?
  4. Is a data processing agreement part of the contract, and where is data hosted?
  5. Are WhatsApp conversation fees and set-up costs included in the price?
  6. How are consent and opt-out handled?
  7. Which languages does the chat speak?
  8. What is the minimum term, and what happens to your data afterwards?
  9. Is there a human handover for questions the AI cannot answer?

FAQ

What is WhatsApp recruiting?

WhatsApp recruiting means using the messenger to contact candidates, pre-screen them with a few questions, schedule interviews and send status updates. It suits frontline and shift roles where applicants prefer a chat to a long form.

What does WhatsApp recruiting software cost?

Prices vary widely. Superchat lists a free plan and paid plans from €79 per month, softgarden starts from €199 per month according to OMR, and most chat agents such as talentsconnect or PastaHR publish no price. With Sprad you pay the ad budget plus 10 % from a €1,000 budget. All as of October 2026.

Is WhatsApp recruiting GDPR compliant?

It can be, if you use the WhatsApp Business Platform through an EU-based provider, have a data processing agreement, a legal basis for processing and a clear consent to contact. The free Business app is generally a poor fit for applicant data.

Not for unsolicited messages. Start the conversation from an application or a clear opt-in, for example a click-to-WhatsApp button in an ad, and use approved templates outside the 24-hour window.

Do I still need an ATS?

Yes, if you hire regularly. A WhatsApp chat agent screens and schedules, but you still need a place for the process and for compliance. Tools such as PastaHR plug into your ATS, BITE and softgarden are ATS themselves, and Sprad hands qualified candidates to your ATS and keeps them in your talent pool.
