More about Recruitment CRM software
A recruitment CRM tracks every relationship a staffing or search firm depends on: candidates moving through a pipeline, hiring managers waiting on updates, and the history of who said what and when. Buy the wrong one and two things go stale at once — the candidate database, because nobody has time to re-check 2,000 old profiles by hand, and the client relationship, because a note from three months ago is buried in someone's inbox instead of on the record. This guide compares 15 recruitment CRMs recruiters actually use in 2026, what each one costs, and where each one's relationship data goes quietly out of date.
The right choice depends less on feature count and more on three questions: does the CRM keep candidate records current on its own or only when a recruiter remembers to update them, are AI search and automation included in the seat price or sold back to you as an add-on, and does the vendor support a German-speaking candidate pool if you recruit in DACH. Answering those three before a demo call saves most of the back-and-forth.
What a recruitment CRM is — and what it isn't
A recruitment CRM manages the relationship side of placing people: candidate records, client and hiring-manager contacts, communication history, and the pipeline stages between a first conversation and a placement. It is not the same as a pure applicant tracking system, which is built around job requisitions and application workflows for a single employer's own openings. A recruitment CRM is built around relationships that outlast any one job — a candidate you placed two years ago, a hiring manager you've worked with across three roles, a client you haven't billed in a while but still call first.
It is also different from a sourcing tool. Sourcing software finds people who aren't in your database yet; a CRM organizes the people who already are. Most of the products below combine some sourcing capability with the CRM core, which is exactly why the differences below matter — a CRM that only stores what you type in decays the moment your team stops typing.
The differences that decide a purchase
Does the record update itself, or only when someone remembers to?
Most CRMs on this list are still a write-only database: a candidate's title, employer, and contact details are only as current as the last time a recruiter opened the record and typed a correction. Loxo is the clearest exception — it monitors its own 1.2 billion-profile database and updates location, title, employer, and skills without manual input, though reviewers on G2 and Capterra also flag deliverability problems in its email automation and describe the mobile app as "terrible." Sprad takes a different route to the same problem: candidates give active consent to keep their own profile current and are re-merged into the pool automatically the next time they apply, rather than a recruiter chasing a stale record. Vincere calls a related feature "talent rediscovery," but it surfaces past candidates for a new search rather than refreshing their data in the background.
Is AI included in the seat price, or sold back to you afterward?
Bullhorn's AI search, automation, and analytics only exist on its Pro and Max tiers, both quote-only — Starter and Core, the plans with a public price, don't include them. Vincere prices its "Smart Pack" automation separately, per agency rather than per seat, starting around £25/month and rising to £349. Crelate takes the opposite approach and puts its AI assistant on every plan including the cheapest one. Recruiterflow reserves its AI matching agent, AIRA, for the top Enterprise tier. Before comparing headline prices, check which tier actually includes the AI features the demo showed you.
What does the CRM log automatically — calls, or just candidates?
A handful of these tools record and summarize calls into the candidate record automatically (Loxo's AI notetaker across Zoom, Teams, and Google Meet); most simply don't touch phone or video conversations at all, leaving that history to live in whatever call tool the recruiter happens to use. If your team's real relationship history is spoken, not typed, this is worth testing directly rather than taking on faith.
Seat price is rarely the full cost
Recruiterflow requires a 3-seat minimum on every plan. Loxo bills annually only, with no published monthly option. XING TalentManager and Talentwunder both run on 12–24 month contracts, common in the DACH market but easy to miss when comparing a monthly seat figure. Vincere's minimum realistic cost for one recruiter is closer to €109/month once its separate Smart Pack is added, not the €80 headline CRM price. Ask for the all-in monthly figure for your actual team size before comparing "from" prices.
German-language coverage is uneven
Manatal, Zoho Recruit, TrackerRMS, XING TalentManager, and Coveto all ship with a German interface or documented German support; Loxo, Crelate, JobAdder, Vincere, Recruiterflow, and Avionté are English-only as far as the public record shows. For a DACH candidate pool, that's not a cosmetic detail — it affects candidate-facing career pages and portal text, not only the recruiter's own screen.

What DACH and EU buyers should check in addition
Language beyond the interface. A German-language login screen doesn't prove the candidate-facing portal, career page, and automated emails are in German too. Ask specifically for a live demo of the candidate journey, not just the recruiter dashboard.
Where the data actually sits. Loxo, Crelate, Vincere, Recruiterflow, JobAdder, and Avionté are US/UK/Australia-headquartered products without a documented EU-hosting statement in the public record. That doesn't automatically disqualify them, but it means asking directly for a data processing agreement, subprocessor list, and hosting location rather than assuming.
Automated scoring and Article 22 GDPR. If a CRM's AI ranks or scores candidates in a way that could stand in for a human decision, check whether a person reviews that output before it affects someone's chances — the GDPR addresses fully automated decisions in Article 22. This is not legal advice; confirm the specific setup with your own counsel.
The EU AI Act and works councils. Annex III of the EU AI Act places certain AI systems used in employment decisions in a high-risk category. In Germany, a system that touches selection guidelines or monitors employee conduct can trigger co-determination rights under §95 and §87 BetrVG. Review the specific deployment with legal and works-council stakeholders before rollout — status of this legal reference September 2026.
A selection checklist for a fair vendor comparison
- Ask each vendor to show the same 20 real candidate records from your own pipeline, not a curated demo dataset.
- Confirm which pricing tier actually includes the AI features shown in the demo, not just the entry-level plan.
- Get the all-in monthly cost for your real team size, including any per-agency add-ons, minimum seats, and contract length.
- Ask what happens to candidate notes, call recordings, and tags if you cancel — a CSV of names is not the same as a portable relationship history.
- Test the mobile app yourself if your recruiters work from the field; several vendors in this comparison have documented complaints here.
- Check whether German-language support extends to the candidate-facing portal, not only the internal interface.
- Ask how many months of contract commitment the quoted price assumes — annual-only and multi-year terms are common in this category.
- Request a data processing agreement and hosting location in writing rather than accepting a general compliance statement.
Frequently asked questions about recruitment CRM software
What's the difference between a recruitment CRM and an ATS?
An ATS is built around a job requisition and the applicants for it. A recruitment CRM is built around ongoing relationships — candidates, hiring managers, and clients — that persist across many roles over time. Most agency tools today combine both, but the CRM layer is what keeps a placed candidate from age three years into a completely cold contact.
Do I need AI matching, or is a good database enough?
It depends on volume. A team placing a handful of roles a month can often manage with strong search and filters. AI matching earns its cost when a team runs many parallel searches and manual shortlisting becomes the bottleneck — but check that the AI features you're paying for are actually included in your tier, not sold separately later.
Recruitment CRMs carry high onboarding cost (data migration, training, integration setup), so vendors often price monthly billing at a 15–30% premium or don't offer it at all, as with Loxo. Always ask for the true monthly-equivalent cost on both billing cycles before deciding.
Is a cheaper CRM actually cheaper?
Not always. Manatal and Zoho Recruit publish the lowest headline prices in this group, but compare what's excluded — payroll, call recording, and deep automation are add-ons or absent entirely on the cheapest tiers across this category. Price the setup you'll actually use, not the entry price.
What should a DACH agency prioritize that a US buyer might not?
German-language candidate communication, a documented data processing location, and — if the CRM's AI influences who gets shortlisted — early alignment with the works council under German co-determination law. A product built for the US market can still work well in DACH, but these three checks are worth doing before signing, not after.
None of these fifteen tools solve every problem on their own — a payroll-heavy staffing operation and a five-person boutique search firm need different things from the same category. Sprad's own fit is for agencies that want their candidate relationships to stay current through consent rather than a recruiter's memory, combined with sourcing and voice screening in the same workspace: see how it works for recruitment agencies, with pricing on the pricing page.
